When do we process personal data?

We process personal data in the following situations:

• When you, as a business owner, register to be listed on the website
• When you visit our websites and accept cookies for statistical, functional or marketing purposes
• When you use our chatbot and choose to have a reply or conversation sent to your email

We only process information that is relevant to the specific purpose.

Cookies, statistics and tracking

We use cookies and similar technologies on VisitLangeland’s websites. Some cookies are necessary for the website to function technically. Other cookies are only used if you give your consent.

We use cookies and tracking technologies for necessary, functional, statistical and marketing purposes.

This includes, amongst other things:

• Cookie Information for managing cookie consent
• Google Analytics 4 for statistics and analysis
• Google Tag Manager for managing tags
• Server-side tracking via Stape
• Google Ads and Google Marketing Platform for campaign measurement and marketing
• Meta Pixel for campaign measurement and marketing
• Embedded third-party services such as video, map, booking and inspiration solutions from YouTube and Vimeo

The purpose is to understand how the websites are used, improve the user experience, measure the impact of our content and campaigns, support local businesses and contribute to the objectives of VisitLangeland’s current tourism strategy.

We primarily use the information in aggregated form for statistics, analysis and reporting. However, the underlying technical information may in some cases constitute personal data. This may include, for example, cookie IDs, IP addresses, device information, browser information and online identifiers.

You may change or withdraw your consent at any time via the cookie settings on the website.

We use cookies in the following categories:

Essential cookies

Essential cookies are used to ensure the website functions technically and to save your cookie settings. They cannot be opted out of via our cookie settings, as they are necessary for the website’s basic functions.

Examples of essential cookies include cookies from Cookie Information, which store your consent and your cookie settings.

Functional cookies

Functional cookies are used for features that enhance the website experience or support embedded features and third-party solutions.

Statistical cookies

Statistical cookies are used to collect information on how the website is used. We use, amongst other things, Google Analytics 4 for analysis and reporting.

This information helps us understand which pages and features are working well, and where we can improve the website.

Analytics data is stored for up to 14 months.

Marketing cookies

Marketing cookies are used to measure and target marketing, as well as to evaluate the effectiveness of campaigns. This may be done via Google Ads, Google Marketing Platform, Meta Pixel, Pinterest Pixel and similar technologies, amongst others.

Marketing cookies can be used to recognise a browser or device and display more relevant adverts across platforms.

Chatbot

On VisitLangeland’s websites, you can use our chatbot to get help and inspiration for your visit.

The chatbot is provided by Karlachat.ai.

If you choose to have the conversation or the answers sent to your email, the chatbot will process the email address you enter yourself. The purpose is to provide you with a comprehensive overview of the information you have received during the conversation.

Email addresses entered into the chatbot are not accessible outside the system.

Systems and suppliers

VisitLangeland’s websites are built on VisitDenmark’s platform in combination with Combine’s CMS system.

We use the following systems and suppliers, amongst others, in connection with the websites:

Some providers process information on behalf of VisitLangeland. In certain cases, other providers may act as independent data controllers for the processing that takes place within their own systems and on their own platforms.

Sharing of information

Information regarding newsletter subscriptions is not shared with external partners.

Information from website statistics, campaign measurement and analysis may be shared internally and with relevant partners, such as Langeland Municipality’s analytics department, VisitDenmark, agencies and partners. Sharing generally takes place in aggregated form, for example as reports, dashboards and statistics.

We do not share information with agencies, partners or other external parties for their own marketing purposes.

Transfer to countries outside the EU/EEA

Some of the suppliers we use are international companies. This applies, for example, to Google, Meta and Pinterest.

This means that, in certain cases, information may be transferred to or processed in countries outside the EU/EEA. When this occurs, the suppliers use relevant legal bases for transfer, such as the European Commission’s Standard Contractual Clauses or other lawful bases for transfer.

Retention and deletion

We only retain personal data for as long as is necessary for the purpose for which the data was collected, or for as long as we are required to do so under applicable regulations.

• Newsletter data is retained for as long as you remain subscribed to the newsletter.
• Inactive newsletter subscriptions are automatically deleted after 50 issues (or 10–11 months).
• Analytics data is retained for up to 14 months.
• Cookie information is retained in accordance with the expiry periods set out in the cookie overview on the website.
• Relevant internship enquiries are only retained for as long as they are relevant to the upcoming internship period.
• Unsolicited job applications are not processed and are, as a rule, deleted.

Your rights

You have a number of rights under data protection regulations.

Among other things, you have the right to:

• Access the information we process about you
• Have inaccurate information corrected
• Have information erased in certain cases
• Have the processing of your information restricted in certain cases
• Object to the processing in certain cases
• To receive the information you have provided to us in a structured, commonly used and machine-readable format in certain cases
• To withdraw your consent if the processing is based on consent

If you withdraw your consent, this does not affect the lawfulness of the processing carried out before your consent was withdrawn.

Complaints to the Danish Data Protection Agency

If you are dissatisfied with the way we process your personal data, you have the right to lodge a complaint with the Danish Data Protection Agency.

We may update this Data Protection Policy if there are changes to our processing of personal data, to the systems we use, or to the regulations governing this area.
